Privacy policy

PJFC Automotive (EPQLD Pty Ltd ATF The Nippon Trust QLD, ABN 97 193 310 848) respects your privacy. This policy explains what personal information we collect, how we use it and how you can access or correct it. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
What we collect
- Your name, phone number, email address and postal or service address.
- Vehicle details such as make, model, registration, VIN and odometer reading.
- Booking, job, quote, invoice and payment records.
- Messages you send us by text, email, phone or our website form, and recordings of phone calls (see below).
- Photos, inspection reports and documents relating to your vehicle.
- Basic technical information when you use our website or online booking page, such as your IP address, used to protect against spam and misuse.
How we use it
- To provide and manage our services: bookings, inspections, servicing, repairs and reports.
- To contact you about your booking or vehicle, including confirmations, reminders and updates by text or email.
- To send invoices and receipts and take payments.
- To meet our legal obligations, including Queensland vehicle inspection record-keeping and tax requirements.
- To improve our service. We don't sell your information.
- To send you occasional offers and service reminders, if you're a customer we've done work for or you've asked to receive them. You can opt out at any time (see “Marketing messages” below).
Text messages
We send texts about your bookings and vehicle. You can reply STOP at any time to stop receiving texts, or IMPORTANT to receive only essential messages, and START to resume.
Marketing messages
If we've done work for you, or you've asked to hear from us, we may occasionally send offers and service reminders by text or email. Every marketing text and email says it's from PJFC Automotive. To stop them: reply STOP to a text (or IMPORTANT to keep only messages about your bookings), use the unsubscribe link in any marketing email, or just tell us. We stop straight away, and we never send marketing to people who have only made an enquiry.
Phone call recording
Calls to and from our business number may be recorded for quality, training and record-keeping purposes. Recordings are stored securely and only accessed by authorised staff.
Online booking and payments
When you book or pay online, card payments are processed by Stripe. We never see or store your full card number. Stripe handles your card details under its own privacy policy and security standards.
Where your information is stored
Our customer records are kept on our own secure computer in Australia, with encrypted backups. We use a small number of trusted service providers to run our business, some of which may store or process information overseas:
- Stripe — card payments (Australia and the United States).
- Twilio — sending and receiving texts and phone calls (United States).
- Cloudflare — secure connections to our website and booking page (global network).
- Apple iCloud — our business email (may be stored overseas).
- Anthropic — the AI that answers our website chat, as described under “Website chat assistant” below (United States and other countries).
- Meta Platforms (Facebook and Instagram) — messages you send to our Facebook page or Instagram account, and measuring our advertising, only as described under “Facebook and Instagram messages” and “Facebook and Instagram advertising” below (United States, Ireland and other countries).
- Bunny Fonts — website fonts; this service doesn't use cookies or track visitors.
We take reasonable steps to ensure these providers protect your information.
Cookies and website statistics
Apart from the Meta Pixel described below, our website doesn't use cookies, advertising trackers or third-party analytics. Our online booking page uses only the cookies needed to make the booking work.
To understand which pages are useful and how people find us, our website keeps simple visit statistics in our own system: the pages viewed, the website or link that brought you here, the type of device, and which buttons were tapped (such as Call or Book online). Your browser is given a random ID, stored on your device, so repeat visits and a later booking or enquiry can be linked. This ID doesn't identify you by name. If you book or send an enquiry, it's attached to that booking or enquiry so we can see which of our advertising works. If your browser sends a "do not track" or Global Privacy Control signal, we count the visit without an ID. You can remove the ID at any time by clearing this website's data in your browser. Visit statistics are kept for about two years.
Website chat assistant
Our website may offer a chat assistant. It's an AI (artificial intelligence), not a person: your messages are sent to our booking system and processed by our AI provider, Anthropic, to write the replies. Anthropic may process them outside Australia, including in the United States. Under Anthropic's terms for business customers, it doesn't use them to train its AI models. The assistant answers from the information on our website; it can make mistakes, so please check anything important with us.
Outside office hours the same AI assistant may also reply when you text our business number, or send you a text after a missed call so you can tell it what you need; the conversation is passed to our team for when we open. During office hours our team replies. You can reply STOP at any time.
Facebook and Instagram messages
If you message our Facebook page or Instagram account, Meta passes your message, your name and your Page-specific account ID (and your Instagram username) to our booking system so our team can reply. We keep these conversations with our other customer messages. Outside office hours the AI assistant described above may reply and pass the conversation to our team; it always says it's an AI, and a person takes over when we open. Meta also handles these messages under its own privacy policy.
If you give the assistant your details (such as your name, mobile number, suburb and vehicle) so we can get back to you, they're passed to our team as an enquiry together with the chat. Chats are stored in our own system and used only to answer your enquiry and improve our service. We keep them for up to seven years, like our other business records, and then delete them; enquiries you make through the chat are kept with our customer records. They aren't used for advertising, and website chats and texts are never shared with Meta or other advertisers. Please don't enter card numbers or other sensitive information in the chat.
Facebook and Instagram advertising
When we advertise on Facebook or Instagram, we use two tools from Meta Platforms to measure whether our ads lead to real enquiries and bookings. We use them only for that purpose — to see which ads work and to show our ads to people more likely to need our services — not to sell your information.
- Meta Pixel — a small piece of code from Meta on our website. It tells Meta which pages you view and which buttons you tap (such as Call, Text, Email or Book online), and when you send our contact form. It uses cookies (such as
_fbp), and Meta may link this to your Facebook or Instagram account if you have one. - Conversions API — our booking system tells Meta directly when a website enquiry arrives, when an online booking is confirmed, and when a customer who first found us through our website pays an invoice (with the amount). With these we send your email address and phone number in a scrambled (“hashed”) form that Meta uses only to match the event to an account, plus your IP address, browser type and Meta's click and browser IDs. We never send your name, address, vehicle details or the content of your messages.
- Customer lists — to show our ads to our own customers (or to people similar to them), we may upload a list of customers' email addresses, mobile numbers, names and postcodes to Meta in scrambled (“hashed”) form. Under Meta's terms it uses the list only to match people to accounts, doesn't share it, and deletes it once matching is complete. Anyone who has opted out of our texts and emails is left out.
How to opt out: use the button below to turn off Meta ad measurement on this browser, or set your browser to send a “do not track” or Global Privacy Control signal — we then don't load the Meta Pixel and don't send your enquiry or booking to Meta. Keeping it secure
Access to customer records is limited to authorised staff, protected by passwords and additional sign-in checks, and every change is logged. Information sent to and from our website and booking page is encrypted.
How long we keep it
We keep records for as long as we need them to provide our services and to meet legal requirements — generally at least seven years for financial records and as required for vehicle inspection records. Messages you delete from our inbox are permanently removed after 30 days.
Accessing or correcting your information
You can ask to see or correct the personal information we hold about you at any time. Contact us using the details below and we'll respond within 30 days.
Deleting your information
You can ask us to delete the personal information we hold about you — including messages you've sent us on Facebook Messenger or Instagram and the name and account ID that came with them. Email [email protected], call or text 0468 067 057, or message our Facebook page or Instagram account, and tell us your name and how you contacted us. We'll delete it within 30 days and confirm when it's done. We may need to keep some records, such as invoices and roadworthy inspection records, where the law requires us to; we'll tell you if that applies. Deleting your messages from our system doesn't remove them from Facebook or Instagram — you can delete those in your own Messenger or Instagram app.

If you have a concern about how we've handled your information, please contact us first so we can fix it. If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
